Registrar Assistant

Full Job Description

Under the guidance of the Director, the Registrar Assistant registrar will support the Registrar Department in three crucial areas: Collections, Exhibitions, and General Administration.

The Registrar Assistant will gain proficiency in museum databases and record-keeping procedures and all phases of exhibitions registration and collections management practices at an international museum while providing administrative support.


    • Strong computer skills required
    • Familiarity with collection management databases, especially with TMS (The Museum System) strongly preferred.
    • Excellent communication, organizational and time management skills.
    • Attention to detail and willingness to ask questions.
    • Flexibility and the ability to adapt to changing priorities.
    • Ability to work both independently and as part of a team.
    • Museum Studies interest or related coursework preferred.


Duties may include, but are not limited to, the following:

Collections :

    • Manage the Guggenheim’s collection of modern and contemporary art
    • Assist in the ongoing maintenance of records in TMS (The Museum System) database, the digital asset management system (“NetX”), and other digital and hardcopy files.

Exhibitions :

    • Assist the Exhibitions Registrars with multiple administrative aspects of their projects, including maintenance of exhibition data in TMS, NetX, and other digital and hardcopy files;
    • Arrangements for couriers; preparation of documentation related to exhibition shipping, insurance, and condition reporting for the Guggenheim’s exhibitions of loaned and collection objects in New York, global affiliates, and worldwide.

General Administration :

    • Responsible for certain general administrative tasks of the department, including invoice processing, managing office supplies, maintaining the department’s historical and ongoing files as well as researching inquiries to the Registrar Department
    • Assist the Director and Senior Director with special projects and additional administrative needs as they arise.


    • Ability to travel within the metropolitan area as required to perform the above duties at any of the Guggenheim’s owned or leased properties upon request.
    • Occasionally work may be conducted outdoors, exposure to varied weather conditions.
    • Ability to work nights, weekends, holidays on occasion
    • Ability to lift at least 25 lbs.


    • Bachelor’s Degree required.

REPORTS TO : : : :Director, Registrar

LOCATION :: Guggenheim offices (primary) and Museum (frequently)

WORK SCHEDULE :: 40 Hours per Week, Schedule TBD

POSITION TYPE : :Full-time, Non-Exempt, This position will become a position covered by a Collective Bargaining Agreement with Local 2110 UAW.

SALARY RANGE: : :$50,000 – $55,000 annually
