Front Office Administrator 

The Opportunity:

Do you feel like a warm greeting and a smile can impact a person’s day?  If you are ready to positively impact every person you encounter (and make them smile), we have the opportunity for you!   Altus Group has an immediate requirement for a Front Office Administrator & Receptionist to join our busy New York office.  This is an exciting opportunity to become an Altus ambassador and main point of contact for visitors and on-site employees. The New York office is the central hub for our globalized organization, and we are looking for a dynamic Front Office Administrator & Receptionist to assist and provide exceptional in-person, front desk support for staff and guests.

This is an excellent opportunity to be highly visible and become the face of the New York office by providing superior daily in-person, front desk support (daily in office 8:50am-5:30pm Monday – Friday).

The successful candidate will need to be outgoing with a professional demeanor, but also possess excellent organizational skills and a high attention to detail. The ability to manage multiple tasks simultaneously is a must.  We are also on the lookout for a point of reference who is knowledgeable about the NYC scene and can provide key recommendations for the top rated (and even hidden gem) restaurants, venues, and locations.

What you will do:

  • Manage the main reception area / desk – receive and handle telephone calls, coordinate deliveries, packages, and shipping, direct visitors, and on-site employees as required
    • Create proper signage when needed
  • Coordination of the general office area:
    • Ensure the office is organized and clean – including boardrooms / kitchens / workspaces and stocked with supplies, equipment and furniture as required
    • Maintain kitchen inventory and manage weekly ordering of snacks & beverages (also ensure appliances are clean and in proper working condition)
    • Maintain office supply room and ensure it is organized and inventory stocked (ensure monthly ordering is completed and tracked)
    • Maintain the IT room – ensure floor space surrounding the IT rack is clear of clutter and the room is organized and tidy (easily as accessible) as required
    • Be proactive and initiative-oriented to ensure streamlined office functionality
  • Manage meeting rooms and reservations through Outlook Calendar
    • Ensure accurate tracking of room reservations, meetings, and visitations as required
  • Manage, coordinate, and assist as required, company events and in-office meetings:
    • Manage coordination of catering for meetings and in-office events as required
    • Assist the office manager with event planning (including but not limited) office happy hours, holiday parties and other office events – provide recommendations for local restaurants and venues and be available to make short-notice reservations and long-term events (create tracking and record of preferred vendor contacts for easy bookings)
  • Key contact for all office infrastructure and office-related services:
    • Act as an internal liaison – communicate company guidelines, policies, provide company directory as required
    • Order gifts for employees (celebrations, milestones etc.)
    • Assist with office meetings – ensure any IT required is working properly before meetings starts and room is tidy (set out water, coffee, etc.) as required
    • Assist new hires with set up at a workstation and provide tour of office
    • Assist with any IT related issues in-office – have working knowledge with our software and programs to be able to provide general troubleshooting tips, best practices, and ensure technology is update-to-date and working properly

What you will have:

  • Previous front office administrator & receptionist experience

  • MS Office skills – Outlook, Word (calendar management)

Salary range: $55,000 – $65,000
